Office administration and reception
You are required to provide a warm welcome to members of the public when they either telephone or visit the office. After establishing what the caller or visitor wants, you would direct them to the person who deals with that particular service. If the person is not available, you are required to take clear, accurate messages and pass them on promptly.
You will also be required to undertake various administrative duties, such as opening post, photocopying, mailing, filing, updating information, sending faxes & e-mails, making telephone calls, preparing and recording outgoing post etc.
Person specification:
You should have a pleasant and calm telephone manner and be able to
communicate well. Ideally, you should also have good computer skills
(Word, internet and e-mail – Excel would be an advantage but not
essential). Good humoured and a team player.
Level of Commitment:
You would be required half day per week on a regular basis. Your
working hours would be from 9/9:30 am to 1 pm, Mondays to Fridays.
We currently have vacancies on a Tuesday and Friday morning.
In addition, you would be required to attend regular training
sessions.
